Terms & Conditions
Welcome to the Nipikiskwasīwan National Summit 2026 — "Rekindling the Home Fire", taking place April 8–9, 2026, at the Edmonton EXPO Centre in Edmonton, Alberta. These Terms & Conditions govern your registration, payment, and participation in this national gathering. By submitting a registration request or paying an invoice, you agree to be bound by these terms. If you are registering on behalf of an organization, you confirm your authority to commit that organization to these terms. Please review them carefully to ensure a smooth experience and understand your rights and responsibilities.
Registration Process & Seat Confirmation
How Registration Works
The registration process is designed to be straightforward and secure. You may submit your registration request through our website using Jotform or by emailing us directly with your details. Once we receive your request, we'll issue an invoice to the payer or contact person listed in your submission.
Your seat is confirmed only when we receive payment — either the required deposit or full payment, depending on timing. Until payment is received, we reserve the right to release unconfirmed seats to other registrants on our waitlist.
Key Definitions
  • Registrant/Attendee: The individual who will attend the Summit
  • Payer: The person or organization responsible for payment (may differ from attendee)
  • Registration Request: A submitted form or email request prior to payment confirmation
  • Confirmed Seat: A seat secured after we receive the required deposit or full payment
All fees are quoted in Canadian dollars (CAD) unless stated otherwise. Applicable taxes, including GST, will be clearly shown on your invoice where required by law.
Payment Terms & Deadlines
Our payment structure is designed to prevent unpaid holds while giving registrants flexibility and fairness. Understanding these deadlines will help ensure your seat is confirmed and protected.

Invoice Issued

10-Day Hold Window
We hold your requested seats for 10 calendar days from the invoice date, unless otherwise stated

25% Deposit Due
Non-refundable deposit due within the hold window to confirm your seat(s)

March 9, 2026 — Balance Due
Remaining balance due 30 days before Day 1, unless invoice states different date

Late Registrations
Registrations on/after March 9 require full payment within 48 hours

Important: If payment is not received by the applicable deadline, we may cancel your registration request and release the seats. We are not responsible for any costs you incur due to non-payment or late payment, including travel arrangements or hotel bookings. If a payer initiates a chargeback or payment reversal, we reserve the right to treat the registration as cancelled and recover costs incurred.
Cancellation & Refund Policy
We understand that circumstances change. Our refund policy balances fairness to registrants with the financial commitments we make to secure venue space, catering, and other Summit arrangements. All cancellations must be submitted in writing to our refund email address from the email used to register, including registrant name(s), organization, and invoice number. Cancellation becomes effective when we receive your written request.

No-Shows & Partial Attendance
No refunds are provided for no-shows, partial attendance, unused meals, or missed sessions. We encourage you to consider substitutions if you cannot attend.
Waitlist Fill Exception
If the Summit is sold out and we can replace your cancelled seat from our waitlist, we may (at our discretion) issue a refund after the no-refund deadline, calculated as amounts paid minus the deposit and any non-recoverable charges.
Substitutions & Transfers
Substitutions Protect Your Investment
Substitutions are the recommended option when you need to make changes close to the event date. They protect your organization's investment while helping us maintain accurate planning for catering, materials, and venue logistics. Substitutions are permitted at no charge up to April 7, 2026 at 12:00 PM Mountain Time.
To request a substitution, email us with the original registrant's name and the substitute's complete details, including name, title, email address, dietary requirements, accessibility needs, and organization affiliation. This ensures we can provide the best possible experience for your new attendee.

Substitutions are processed at no charge when submitted within the deadline
If we offer transfer or credit options for future Summits, these will be communicated in writing with applicable rules. Unless explicitly confirmed otherwise in writing, credits are non-refundable and may have expiry dates. Approved refunds are issued to the original payment method where possible, with processing typically occurring within 10 business days, subject to bank timelines.
Organizer Changes & Force Majeure
While we work diligently to deliver the Summit as planned, certain circumstances may require adjustments to the program or event itself. Understanding these provisions helps set clear expectations for all participants.
Program & Speaker Changes
Speakers, sessions, times, and content may change due to scheduling conflicts, speaker availability, or program improvements. Program changes do not automatically entitle registrants to a refund, as the overall Summit experience and value remain intact.
Cancellation by Organizer
If we cancel the Summit entirely, we will refund registration fees paid. However, we are not responsible for travel, accommodation, or other expenses incurred by attendees or payers.
Postponement or Format Changes
If the Summit is postponed, rescheduled, or changed to a different format (such as venue change or hybrid delivery), we will communicate your options, which may include transferring your registration to the new date/format and/or a refund window as specified in writing.
Force Majeure Events
We are not liable for failure or delay in performing obligations due to events beyond reasonable control, including severe weather, wildfire, public health restrictions, venue closure, transportation shutdowns, acts of government, or similar circumstances. In such cases, the postponement/format change provisions will apply to the extent possible.
Code of Conduct & Safety Protocols
Respectful & Culturally Safe Environment
Nipikiskwasīwan National Summit 2026 is committed to providing a respectful, harassment-free environment for all participants. We value cultural safety and expect all attendees to contribute to a welcoming atmosphere that honors Indigenous protocols and respects every individual.
The following behaviors are strictly prohibited:
  • Harassment or discrimination of any kind based on race, ethnicity, gender, sexual orientation, disability, age, religion, or any other protected characteristic
  • Intimidation, bullying, threats, or unwanted sexual attention
  • Disruptive behavior that interferes with sessions, safety, or others' experience
  • Recording others without consent where reasonable expectations of privacy apply

Enforcement: We may, at our discretion, refuse entry or remove any person for Code of Conduct violations. Removal for violations may be without refund. All attendees must also comply with venue rules and any Summit safety instructions. We may implement health or safety measures consistent with venue requirements or public health guidance.
Accessibility & Accommodations
We will make reasonable efforts to support accessibility needs. Requests for dietary accommodations, mobility assistance, interpretation services, or other needs should be submitted to our accessibility email by the specified date. While we strive to accommodate all requests, we cannot guarantee fulfillment of last-minute accommodation requests due to logistical constraints.
Media, Privacy & Intellectual Property
Photography & Recording
The Summit may be photographed, recorded, or livestreamed for documentation and promotional purposes. By attending, you consent to incidental capture and use of your image and voice. If you have serious privacy or safety concerns, contact us before the event and we will make reasonable efforts to accommodate you.
Privacy Protection
We collect personal information to administer registrations, invoices, communications, and event delivery. We may share necessary information with service providers such as payment processors, registration tools, and the venue, only as needed to deliver the Summit effectively.
Intellectual Property
All Summit branding, materials, and content are protected by applicable intellectual property laws. You may not reproduce, sell, distribute, or publish Summit materials (including recordings, slides, or handouts) without permission from the rights holder. Speakers retain rights to their own materials unless otherwise agreed.
Limitation of Liability & Legal Framework
To the fullest extent permitted by law, we are not liable for indirect, incidental, consequential, or special damages including lost profits or travel costs. Our total liability relating to the Summit is limited to the registration fees actually paid by the payer for the affected registration(s), except where prohibited by law. You agree to indemnify and hold harmless the Organizer from claims arising out of your breach of these Terms, your misconduct, or your violation of law, to the extent permitted by law.
These Terms are governed by the laws of Alberta and the applicable laws of Canada. You agree that disputes will be brought in the courts located in Alberta, unless otherwise required by law. We may update these Terms from time to time, with the Terms in effect at the time of your registration/payment generally applying, except where changes are required for legal compliance or safety reasons.
